You may think an employment offer letter template is fairly standard—and to an extent it is. But presenting someone an offer of employment is a big deal and you don’t want to be ambiguous with the details.

Even if you’ve made a verbal offer to your candidate, you’ll want to follow it up with a written version that details the terms of employment. In order to establish proper expectations with your new hire, here are a few items you’ll want to make sure to include when you write a job offer.

Formal Offer

It might sound silly, but don’t forget to actually extend an offer for employment with your company. It’s a congratulatory communication—remember, you’re “pleased to offer…” and it’s important to set the tone for the beginning of the employment relationship.

Key Details of Job Description

Just to ensure everyone’s on the same page, be sure to list the main responsibilities associated with the job position. Is it a full-time or part-time position? Do you have immediate goals the new hire is expected to accomplish? Also include his or her official job title and the name and title of the direct manager or supervisor.

Total Compensation

The offer letter should list the new employee’s total compensation including his or her starting salary and benefits such as health insurance, paid time off and 401k. If applicable, detail information regarding commission, stock options or bonus eligibility. Also spell out any specifics you negotiated like a company car, cell phone or extra vacation days.

Terms and Conditions

At the same time, you may have additional documents that you need signed and dated by the candidate if he/she decides to accept the offer. Legally binding items such as confidentiality and non-disclosure agreements or non-compete clauses should be explained in detail at the time of the job offer.

Accept the Position

Don’t forget to include a way for your candidate to officially accept the position. Whether that’s a place to sign and date on the dotted line or to respond in some other manner, he or she will need to let you know they accept the position in order to establish a start date and work schedule.
